2008-09 Housing Lottery Information

 
 

Please read everything carefully and make sure you are aware of those dates and procedures that pertain to you.

All undergraduates planning to attend Caltech this coming academic year, who wish to reserve a room for the Fall 2008 term, must submit this form by April 9, 2008 at 5:00 p.m. in order to be guaranteed Caltech housing.

Housing spaces included in the lottery for this year will be the on-campus undergraduate houses and their alleys, 150 South Chester, 1170 East Del Mar, Avery House, Marks House and Braun House. Caltech Housing Options

Below are short descriptions of the housing choices available to undergraduates.

 

THE SEVEN HOUSES
Blacker, Dabney, Fleming and Ricketts are comprised of singles, doubles and triples. Lloyd, Page and Ruddock are all doubles. Only those students who are full members of a particular House may live there and all residents are required to be on a board plan. House Alleys are affiliated with a House, and room selection for these sites will be administered as a part of the House room pick process.

AVERY HOUSE
Avery House is comprised of undergraduates, graduates, and faculty. There are 22 singles, 41 doubles, 2 triples and 2 suite singles available to undergraduates. All residents are required to be on a board plan.

APARTMENT LIVING
A maximum of 30 students may be housed at 1170 East Del Mar Blvd in double, triple and quad apartments. The building has a swimming pool and is situated on-campus behind Beckman Auditorium at the corner of Del Mar and Michigan.

The apartments at 150 South Chester Ave have 25 one-bedroom units that house 2 - 3 students each. The building is situated off-campus on Chester between Cordova and Green, within easy walking distance of the campus.

Both complexes have residential parking spaces. Residents are not required to be on a board plan.

MARKS HOUSE
Marks House is situated on San Pasqual St across the street from Ruddock House. There are 28 single rooms in the building with a shared kitchen in the basement. Residents are not required to be on a board plan.

BRAUN HOUSE
Braun House is situated on San Pasqual St across the street from Ruddock House. There are 30 single rooms in the building with a shared kitchen in the basement. Residents are not required to be on a board plan.

 

ROOM SELECTION GUIDELINES

All undergraduate students who are academically eligible to register for the Fall 2008 term without UASH or Dean’s approval may participate in the lottery.

 

FILLING OUT THE LOTTERY FORM

In order to be guaranteed housing or to participate in the Fall 2008 Lottery process you must submit a lottery participation form.  If this form is submitted after the deadline of April 9, 2008, you may still participate in the lottery; however, you will not be guaranteed housing, and your name will be placed at the bottom of the May 8th lottery list.  Students submitting their lottery forms late will be choosing last and may not be pulled in as a roommate during the early lottery process or the unaffiliated lottery.

PICKING A ROOM

All individuals picking into open doubles, triples and quads MUST fill the other bed space(s) at the time of the room pick with students eligible to participate in the lottery process. Roommates must be present at the time the space is chosen, or send a proxy form with the individual picking the space.

EARLY LOTTERY PROCESS

Of the total bed spaces in Marks and Braun, a portion of the spaces will be allocated for the early lottery process.

Marks/Braun House - 12 spaces in Marks and Braun (6 spaces each) will be held out for the early lottery process. Only current residents of Marks and Braun may participate. The early lottery for Marks/Braun will be held at the Housing Office in the Center for Student Services, building 86 on Holliston Avenue starting at 1:30 p.m. on April 17, 2008 (this is a quick process, so please plan to be there on time or a little early so you don’t miss out). The remaining bed spaces will be available as part of the unaffiliated room picks.

Avery House - 83 spaces (2 suite singles, 14 singles, 32 doubles, 1 triple) in Avery will be held out for the early lottery process (this will include spaces for in-coming freshmen). Only current residents of Avery may participate in the early lottery process. For details on the Avery House Room picks, please consult the Avery Council.

Students who pick into an unaffiliated space during the early lottery may not participate in any other lottery.

HOUSE ROOM PICKS

The Seven Houses will conduct their own room pick process with procedures set by the individual house. For guidelines regarding the procedures for the seven houses' room picks process, please consult the house officer in charge of room picks in your house. Students who participate in the early lottery process or the seven houses room picks, but do not get a room, may take part in the unaffiliated lottery as long as they have submitted a lottery form. House secretaries must submit room pick lists to the Housing Office by April 28, 2008.

UNAFFILIATED ROOM PICKS

Students who do not participate in the early lottery process or the seven houses’ room picks will be automatically entered in the unaffiliated lottery if a lottery form was submitted. Rooms will be selected by participants in the order determined by the lottery numbers. All individuals picking into open doubles, triples and quads MUST fill the other bed spaces at the time of the room pick. The Unaffiliated Room Picks will be held at the Housing Office, Center for Student Services, building 86, 414 S. Holliston Avenue at 1:30 p.m. May 8, 2008. All individuals who have selected rooms in the early lottery process or the seven house room picks will be automatically removed from this room pick process. Roommates must be present at the time the space is chosen, or send a proxy form with the individual picking the space.

If and when all bed spaces are exhausted, a waiting list will be formed in the order of the lottery numbers. As vacancies occur, spaces will be offered to individuals on the waiting list.

Proxy

You must be present when your number is called to select a room. If you are not able to attend the early lottery process or the unaffiliated lottery room picks, you may assign a proxy to make the decision for you. If you or your proxy is not present, you will automatically be placed at the end of our waiting list and will NOT be guaranteed housing.

If you have a class or other commitment at the time of the lottery, someone else may select a space for you. You may also designate the Housing Office as your proxy. We would be happy to select a space for you (based on your preferences) so that you don’t miss out. Proxies do not need to be registered with our office, but must have a signed letter from the student for whom they are selecting. Proxy forms are available in the Housing Office and on our website.

STUDENTS ON SABBATICAL

Students on sabbatical who are academically eligible to register for the 2008 Fall term without UASH or Dean’s approval may participate in the 2008-09 housing lotteries. Contact the Housing Office, ext. 6176, for more details.

MARRIED STUDENT HOUSING

Married students who would like to live in Institute housing may participate in the unaffiliated lottery. If only one individual is a registered student, then he/she will only be allowed to pick into the 150 S Chester, or 1170 E Del Mar apartments. The apartment the married student selects will be reserved for him/her and his/her spouse. If both individuals are registered students, they also have the option of picking into any other double space, or entering house picks.

VACANCIES

If, during the term, a student(s) moves out of a double, triple or quad room, the remaining student(s) has the opportunity to find a roommate(s). Students living in rooms with one or more vacancies can be assigned a roommate at any point during the year. This would only occur after they have had the opportunity to find a new roommate themselves. The amount of time they have will be based on current waiting lists and pending lotteries, and will be determined by the Housing Office in conjunction with the student.
Avery residents should take note that if a vacancy occurs in a double or a triple, a surcharge will apply after a 30-day grace period.
Residents of 1170 E Del Mar or 150 S Chester have a 30-day grace period to fill the empty space(s) before they become responsible for the rent of the entire apartment.

Term rates listed above for On-Campus, Off-Campus, Marks, Braun and Avery are per person per term.
Monthly rates listed above for 150 S Chester and 1170 E Del Mar shall be split evenly among total number of occupants per apartment based on the term rates below:

Application Certification

I wish to be guaranteed Caltech housing – I plan to participate in the early lottery process (Avery and Marks/Braun), the seven house picks, and/or the unaffiliated lottery. If I receive a room in the early lottery, my name will be automatically removed from any other lottery process. If I do not obtain a space in the early lottery, or do not participate in that process, I have the option of participating in the seven house picks. If I do not get a space in my house, or do not participate in house picks, I will be automatically included in the unaffiliated lottery.

If this form is submitted after the deadline of 5:00 p.m. on April 9, 2008, you may still participate in the lottery; however, you will not be guaranteed housing and your name will be placed at the bottom of the unaffiliated lottery list on May 8, 2008. Students submitting this lottery form late will be choosing last, and will not be able to be pulled into other housing.
